Terms & Conditions Villa Sardinheiro

Introduction

Villa Sardinheiro is a 170m² fully equipped and private holiday house with mindblowing views and a large private swimming pool. The property is located in the village of Espadanal which belongs to the city of Tábua, in the district of Coimbra in Central-Portugal.

These terms and conditions apply to all bookings made through this website villasardinheiro.com and are binding for both guests and Villa Sardinheiro. Making a reservation means that you, who we will call “the client” accept these conditions for himself and his passenger(s).

Licenses

“Villa Sardinheiro” is licensed by the Portuguese Tourism Office under the “Alojamento Local” regime with the AL-license number 155949/AL. We are also a supporting member of the Portuguese Vacation Rentals Association, called ALEP (member number: 4716).
Rates.

On this website, you book this holiday directly from us, the owners. That way, you avoid service fees that the big booking websites charge. That’s why it is guaranteed to be cheaper to book through this site.
The price, for the selected period of stay, is the one announced at each moment on the booking page, given by the booking system of the web site.

Privacy regulations

We respect your privacy and comply with all applicable legal rules, both those of the European Union and Portuguese, regarding data protection, privacy and information security. Please refer to our Privacy Policy, which is part of these Terms and Conditions.
Booking confirmation

Reservations are considered confirmed when a deposit of 40% of the total amount is received within 7 days of initial booking.
The total invoice needs to be paid in full 21 calendar days prior to arrival. If your reservation is made within 4 weeks prior to arrival, then the total amount needs to be paid in full when you book in order to consider it confirmed.

You can pay with a direct bank transfer using the payment details you receive upon booking.

Booking conditions

The Client must be at least 18 years old and must remain in the booked accommodation during the entire stay. Guests under 18 years of age can only be accommodated if accompanied by an adult who is the Client.

The Client must provide, at booking time, a valid telephone number and email address.

The Client and accompanying persons must provide, within the period up to the check-in date, all information relating to their identification: name, date of birth, place of birth, nationality, identification document number (citizen card or passport) and country issuing the document, through e-mail communication or by other written means.

Booking Cancellation Conditions

Cancellation up to 63 days (9 weeks) before check-in

The Client can cancel the reservation free of charge up to 63 days before arrival without any costs. In this case, the paid deposit of 40% of the reservation and damage deposit will be completely refunded.

Cancellation between 63 days (9 weeks) and 21 days (3 weeks) before check-in

If the Client cancels after 63 days prior to the foreseen arrival, but before 21 days prior to the arrival, the paid deposit of 40% – will not be refunded, but the remaining 60% are not due.

Cancellation from 21 days before check-in and later

If the client cancels 21 days or later before check-in, he will be charged the full amount of the reservation. The total amount of the security deposit, however, will be refunded.

No show or leaving earlier

In case of no show, earlier than planned departure or cancellation, paid deposits will not be refunded. Only the security deposit will be refunded as long as there is no damage done during the shorter stay. Therefore it could be advisable to get travel cancellation insurance.

Liability and Security deposit

The Client agrees to deliver the Property in the same state and condition like it was when it was upon arrival. The Client also expressly assumes full responsibility for the behavior of all persons accompanying him/her, being jointly and severally liable for all possible damages caused by them, whether of a patrimonial or non-patrimonial nature, including damages caused to third parties.

Villa Sardinheiro has been built and cared for as if it was our own family home. It’s a treasure we share with our clients. Therefore, we need to charge a damage deposit of €500 per stay for new clients.
Returning guests that didn’t cause any damages in the past, do not have to pay this damage deposit. In case no damage has been caused during the Clients stay, the security deposit will be refunded within 7 days after check-out.

If the Property is abnormally dirty on check-out date, an additional cleaning fee will be charged, which will be the amount of one night, the Client giving express authorization for such amount to be directly deducted from the amount paid as security deposit.

Please note that the owners of Villa Sardinheiro are not responsible for any damage that directly or indirectly results from the improper use of the property, including damage, theft, insecurity, illicit behavior, misuse of equipment. The same applies in relation to any deficiencies in the supply of electricity, water, internet or television. We will use reasonable efforts to find a solution, not being responsible for services provided by third parties.

Your stay

Location and access

Prior to your arrival, we will communicate the exact geolocation of the house, as there is no real address.

Don’t solely rely on Waze to get you to the house. Rather use Google Maps on satellite view to avoid that you’re sent into the very bumpy sand roads on the mountains, unless you want to have a next level off-grid experience with a 4×4 vehicle… And even then, there are 300m of a sandy road towards the property that are impossible to avoid. With most cars this is doable, but be careful to avoid the adventure we experienced during the first visit to the house when we were house hunting in September 2023.

To access the property, guests will receive the code of the key holder next to the front door, on the day before their arrival.

Welcome pack, condiments and toiletries

To welcome you in our Villa Sardinheiro, we provide a small welcome pack upon arrival. It contains water, a bottle of Portuguese wine, coffee, tea, milk and cereals.

Moreover, the kitchen pantry is usually filled with the most common condiments such as olive oil, sugar, pepper, salt.

We also provide sufficient toilet paper and kitchen paper, hand soap, dishwasher tablets and some toiletries like shampoo, body wash and hair conditioner.

You can use them for your own consumption, but you are not allowed to take them home with you. If you empty something, let it know to our concierges, please.

House rules

The silence period lasts from 10 pm to 8 am the following day. We are in permanent contact with the neighbors and we would like to stay respectful towards them. They are the kindest people! If excessive noise is reported, police can be called and a fine will be issued.

Look out for the children within your companionship. Be aware that the swimming pool is not fenced and that the house is located on a hill, which means some heights could be potentially dangerous for children.

The following is not allowed in or around the property, under penalty of immediate termination of the stay, with loss of all amounts already paid:

  • Holding parties or events with loud music and/or excessive alcohol consumption
    Holding dinner parties with more than 12 people;
  • Permanence of companions, other than those identified in the Accommodation Bulletin or by other means, who use the apartment on a daily basis;
  • Smoking or using fire inside the properties or around the property. In summers, Portugal is regularly confronted with wildfires. Therefore, open fire, barbecuing on other fires than the stone barbecue on the northern terrace and smoking are strictly forbidden on our property. We demand that our detailed instructions to this subject are to be followed strictly without any discussion. Violators will be asked to leave the quinta immediately.;
  • Pets. Our children are severely allergic to animals and will certainly suffer from asthmatic and skin issues resulting from your stay if you have animals in the house.
  • Any activity or use contrary to the purpose for which the property is intended, and that jeopardizes the integrity of the building, or that violates the house rules expressed in the advertisement.
  • Garbage must be sorted and removed by the guests from the accommodation and deposited in the existing containers next to the chapel in the village of Espadanal, only a 3 min drive away
  • Please, do not forget to turn off water taps, lights, TV, machines and the air conditioning before leaving the house.
    Keys and safety: Also be sure to keep the door closed and take the key of the front door any time you leave the property. In case guests lose the key of the door, they will need to reimburse the change of the locks of the house.
